Privacy policy

Last updated: 8 September 2026

KPM Convenience Ltd (“we”, “us”, “our”) operates www.retailace.ai and the RetailAce services. This policy explains how we collect and use personal information when you visit this website or contact us. It is written for a UK audience under the UK GDPR and the Data Protection Act 2018.

1. Who we are and how to contact us

KPM Convenience Ltd
Registered in England & Wales, company number 16527889
Registered office: 4 Millpond Court, Kingsley, WA6 8DL
Email: paul@kpmconvenience.co.uk

We are the data controller for the personal information described in this policy. If you have any questions about it, or about your personal data, email us at the address above.

2. What we collect

Information you give us. Every enquiry route on this site is an email link — there is no contact form. If you email us we hold your name and email address, whatever you put in the message and any attachments, and any business details you choose to share, such as your shop name and role.

Information collected automatically. Our hosting provider keeps standard server logs for security and diagnostics. These include your IP address, the pages requested, and basic browser and device information. We do not use these logs to build a profile of you, and we do not use them to work out where you are beyond what is inherent in an IP address appearing in a log.

We do not knowingly collect special category data (such as health or political opinions) through this website.

If you use the RetailAce application itself — the part behind the sign-in — then account, rota, staff and store data is processed under the agreement with the business whose account it is. That is separate from this policy, which covers the public website and enquiries.

3. Why we use your information

PurposeExampleLawful basis
Respond to enquiriesReplying to an email about RetailAce or custom workLegitimate interests, or steps taken before entering a contract
Run and secure the websiteHosting, abuse prevention, diagnosing faultsLegitimate interests
Meet legal obligationsTax and accounting records, responding to lawful requestsLegal obligation

We do not send marketing emails to website visitors. If that ever changes, it will be on an opt-in basis and you will be able to withdraw consent at any time.

4. Cookies

This website sets no cookies. There is no analytics, no advertising and no third-party tracking on the public pages, which is why you are not being asked to accept anything.

The RetailAce application behind the sign-in sets a session cookie, which is strictly necessary to keep you signed in and cannot be turned off while you are using it.

If we ever add analytics, we will ask for your consent first and update this policy at the same time.

5. Who we share it with

We may share personal information with:

  • Service providers who help us run the site and our email, such as our hosting and email providers — only as far as they need it to provide that service
  • Professional advisers, such as our accountants or solicitors, where relevant
  • Authorities, where we are required to by law

We do not sell your personal information, and we never have.

6. Transfers outside the UK

Some of our providers process data outside the UK. Where that happens we rely on the safeguards the law requires, such as UK adequacy regulations or standard contractual clauses.

7. How long we keep it

  • Enquiry emails: normally up to 24 months after we last hear from you, unless there is an ongoing relationship or a legal reason to keep them longer
  • Server and security logs: short retention periods set by our hosting provider
  • Application accounts and data: as set out in the agreement with the business whose account it is, or until deletion is requested, subject to any retention the law requires

8. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Have inaccurate data corrected
  • Ask us to delete data
  • Restrict or object to certain processing
  • Ask for your data in a portable form, in some circumstances
  • Withdraw consent, where we are relying on consent

To exercise any of these, email paul@kpmconvenience.co.uk. If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, though we would appreciate the chance to put it right first.

9. Children

This website and our services are aimed at businesses and adults. We do not knowingly collect personal data from children.

10. Changes to this policy

We may update this policy from time to time. The date at the top changes when we do, and the current version is always the one published here.
